"HOW TO'S" IN SE


AES RESOURCES

CREATE A NEW CLUB ACCOUNT IN AES (ONLY FOR CLUBS WHO DON'T HAVE EXISTING AES ACCOUNT)

Note - only the participants that are assigned to your club in SportsEngine will be imported into AES through this process.  If participants have not been sent & accepted a club assignment in SE for this season, they will not be imported.

CREATING SE ACCOUNTS

Important reminders for creating new accounts in SportsEngine (applicable primarily to those who have never had a membership before):

  • Members under 18 will have an account underneath their parent/guardian's account.  
  • The parent/guardian will create an account first, prior to entering information for their player.  This does not require the parent/guardian to obtain a membership or pay anything.
  • When a parent/guardian logs into their account, they'll be able to access their player's profile, purchase a membership, and update information.

CLUB SELECTION IN SE

Clubs must send an "invitation" to a member in order for that member to be able to show up on a roster.  This can be done in two ways:

1) Club sends an invitation to join after a membership purchase has been completed.

2) Club sends a direct club assignment via a link from their HQ, that is specific to a certain type of membership.  Participant uses that link to purchase the membership and is automatically assigned to the club once the purchase is complete.

ROSTERING & CLUB ASSIGNMENTS IN SE

Rostering
To roster a participant:

  • The participant must have a valid membership
  • The participant must accept a club assignment to your club (see club assignment information on this page)

Rostering Adults
When adding adults to your roster, make sure:

  • You add a "role" to the roster (i.e., Head Coach, Asst. Coach, etc.).  Adults who do not have a title will show as an error.
  • They have accepted a club assignment to your club
  • They have completed all eligibility requirements (i.e., IMPACT, Safesport, background screens).

Club Assignments
When in doubt, contact our office and we'll help you get club assignments sent to the right places.  You cannot send club assignments until after tryouts.

Errors
If you see a red triangle next to a name on a roster, there is an error.  The first thing to check is if you have duplicate profiles of an individual in your directory, and the incorrect profile was added.
